How to Build an Agency Without Losing Your Mind

If you’re anything like me, you’re juggling a lot. I’m a full-time teacher, a travel advisor, and an agency owner. I’ve learned the hard way that you cannot market your business "whenever you feel like it." You need a strategy that works for you when you’re in the classroom, in meetings, or even when you’re sleeping.


In the travel industry, we talk about two main types of marketing: Passive and Active. I strive for a balance of both in my business, though I’ll be the first to admit I still fall short sometimes.


Here is how I use this 80/20 balance to generate a steady flow of leads at Prism Premier Travel, and how you can do the same in your travel business.


Passive Marketing: Your 24/7 Digital Employee


Passive marketing is what I largely rely on because of my teaching schedule. This is the marketing that lives online—social media, blogging, YouTube, or Pinterest. It’s called "passive" because once you create it, you wait for people to find you.


For the busy professional, passive marketing is a lifeline. SEO (Search Engine Optimization) and AEO (AI Engine Optimization) are the reasons I am where I am today. If I had to rely solely on "pavement pounding" to find clients, I probably would have had to shut my doors years ago. Passive marketing allows my website and my content to vet my clients for me before I ever hop on a call.


Active Marketing: The Fast Track to Growth


Active marketing is when you show up in person or in real-time. It’s scheduling 1-on-1s with wedding pros, attending local Chamber events, or hosting a live webinar.


Active marketing is significantly more time-consuming, but it is faster. If you want to grow quickly, you have to be active. This is how I built my business in the early days—meeting couples at wedding expos and building a referral network with local vendors. It’s how you build trust instantly.


The 80/20 Strategy: How I Balance Both


Since I have about 20 hours a week for my agency, 80% of my marketing is passive. I spend my school breaks or late evenings scheduling blogs and social posts. But I make sure that the remaining 20% is purposeful active marketing.


Here is the system I recommend to my sub-agents:


My "Active" Weekly Checklist:

If you have a full-time job, aim for one active strategy per week.

  1. Chamber Events: I look at the Houston LGBT Chamber calendar and pick one or two events a month to attend in person.

  2. Partner Outreach: I find one wedding professional (planner, florist, etc.) each week to connect with.

  3. Local Presence: I look for local wedding shows or venue open houses where I can meet potential clients face-to-face.

  4. The Ask: I reach out to past clients and specifically ask for referrals. This is the most effective active marketing there is.


My "Passive" Systems:

  1. Social Media Sequence: I use a seven-day sequence on Instagram. I know exactly what I’m posting every Monday and Thursday. It’s consistent, scheduled, and automated.

  2. Blogging for Authority: I write blogs that answer specific questions. This helps Google see me as an expert.

  3. The Pinterest Loop: I link every blog and Instagram post to Pinterest. This gives my SEO a massive boost and keeps my content "alive" much longer than a standard social post.

  4. Backlink Building: I make sure my agency is linked on high-authority sites like the IGLTA, DWHSA, and the LGBT Chamber. These "backlinks" tell search engines that my site is legitimate and trustworthy.


If You Learn Nothing Else, Learn This:


Starting a travel agency is not a "get rich quick" scheme. If your goal is to quit your job in six months, you need to lean heavily into Active Marketing. You need to be at every event, on every call, and in front of every person you can find.


However, if you are like me and you are playing the long game, a combination of both is the only way to build a sustainable business. Use passive marketing to build your authority and your "sleep leads," and use active marketing once a week to keep your momentum high.
